Privacy Policy
DRAFT — pending attorney review. This draft describes how Williams | Starbuck handles staff and matter information inside ProbatEdge. It is not a client privacy notice and it does not claim any certification.
What this workspace is
ProbatEdge is internal software for the firm's probate and trust administration. The people who sign in are firm staff. Clients do not receive accounts in this workspace, and this policy is not a promise made to a client about a separate client portal.
Information the workspace stores
Depending on the matter, staff may enter or import:
- Names and roles of people connected with a matter, including the decedent, the petitioner, and family
- Dates the firm uses for administration, such as a date of death recorded by staff
- Intake answers, notes, tasks, and asset or claim descriptions the firm chooses to save
- Draft documents generated from firm templates, and the review history on those drafts
- Staff account information: username, name, email, role, and a password hash
The workspace is not a place to store a Social Security number in free text. Do not put one in a note, a comment, or a draft field.
How it is used
Staff information is used to sign you in, to send an invitation or a password-reset message you requested, and to show who prepared or reviewed a draft. Matter information is used to run the firm's checklists, deadlines, and document drafts for that matter.
The firm does not sell this information and does not use it for advertising.
Who can see it
Each staff account can open the matters the firm has made available to staff. Administrator screens, including the detailed system-health report, are limited to administrator accounts. A password-reset link is emailed only to the address on that staff account, and the page that asks for a reset does not say whether the account exists.
Where it is processed
The firm uses service providers to host and connect the workspace. This list is a placeholder for attorney review, not a representation that every provider is turned on today:
- Render — application hosting
- Dropbox — matter-file sync when the firm has connected it
- The firm's configured AI provider — research and drafting assistance when that feature is turned on
- The firm's email provider — staff invitations and password-reset messages when email is turned on
- Clio, when that connection is enabled
- DecisionVault, when that connection is enabled
- Microsoft OneDrive/SharePoint and Google Drive, when the firm registers those connections and a staff member connects their own account
A provider is not authorized to use matter information for its own marketing. Turning a connection on is a firm decision, made by an administrator, and is off until the firm enables it.
Retention and security
Matter drafts, review history, and staff accounts are kept so the firm can administer the file and reconstruct who approved a draft. The firm disables a staff account when the person leaves. Passwords are stored only as hashes. A reset link expires and works once; using it signs that account out of other sessions.
No certification is stated here. This draft does not say the service has passed an independent security audit or a health-information compliance program.
Access from staff
To correct the email or name on your staff account, use the profile screen or ask an administrator. To ask what this draft means, or to report a concern about information in the workspace, write to admin@dk4gtech.com.
Changes
Williams | Starbuck may update this draft. The posted page is the current text. A change to how client information is handled belongs in the firm's own client notice, which this page does not replace.
